Adequate Disposal of Records

Top level Regional Initiatives Adequate Records Management

Disposal is the process by which official records of a government agency are either destroyed, retained or transferred between agencies...

The disposal process for official records also determines whether the records are of permanent value or temporary value through the application of a relevant disposal schedule. Permanent value records are to be transferred to State Records of South Australia to form part of the South Australian Archival Collection maintained by State Records. Temporary value records are either retained by an agency on its own site or transferred to an Approve Storage Provider nominated by State Records.

Section 23 of the State Records Act 1997 stipulates that "An agency must not dispose of official records except in accordance with a determination made by the Manager [Director of State Records] with the approval of the [State Records] Council". This means that we must first apply to State Records for approval to destroy the records through the submission of an Intention to Destroy Records Form. State Records will then grant approval for the records to be destroyed according to the method prescribed within the submission.

State Records have published an information sheet to assist agencies in understanding the process for the Disposal of Official Records.
